Unsubstantiated client critique regarding the musical style. The client hadn't properly researched the musical style before booking. She booked a Latino duo and expected them to perform Spanish music. She also expected the duo to magically conjure microphones and walk around.

Compare Zara D.
Compare Yesterday where the client expected a 'pop-up' Mariachi-style setup (band setting up, sound checking, packing away and then setting up and starting again).

Hello AF, MF,
Thank you very much for keeping in touch.
It’s true that the artistic requirements to the night were not duly accessed/understood [see attached show advance and below correspondence].
So in this case, yes, we don't have much recourse.
I’d advise in future to have the show advance (i.e., the finer details) emailed to the musicians and for them to need to electronically/formally acknowledge them in order for them to be booked in. If you wish, we can have a look at that document and see what recourses are put in place for finer details such as this.
Also, it may be of interest to add a sentence to the “show advance" document specifying to please disclose these artistic requests to any retainers musicians may have in order to avoid confusion. And a sentence to the first enquiry email asking for any details of requests elsewhere (that way we know what might be missed later).
As for the matter of Friday’s performance: Really unhappy to know that the theme of the night wasn’t seen to in advance; and obviously relieved that the musicians at least tried to do their best and adapt accordingly to the circumstances. I was not there on the night, and therefore cannot provide an informed account.
There should be a link to the promo material/s which - I hope - is readily available on the RO/relevant website. Please, in addition to sending me this promo material (and its location where the musicians should have found it), also let me know (for re-drafting) any other bits of information about the event so I can re-draft more adequately, and so we can look into ways of avoiding this mis-hap of re-occurring.
Many thanks,
and hope to hear from you soon,
Claire Maillot

This was the information they gave us and as you know I normally ask the band to contact the client to talk over all the logistics as I feel it is better for the band themselves to know all this. I ask the client to fill in as much as possible on their booking form and you had that so I'm not sure if you were in touch with AF beforehand to talk about where they would be positioned and what feel they wanted. It could be that they expected a full band sound for a duo budget which is always difficult but I tried to flag this up to AF and explained that to her so not sure if you also did.
I can see that they filled in all the details but was there actually a conversation over the phone? This is necessary when organising as you know as sometimes it's not apparent from the paperwork what they are expecting and if I am honest they probably expected something else for the money.
I will look at this in detail later as I am going out but if you could confirm what telephone conversations you had that would be great.

Dear Claire,
Many thanks for getting back to me I was not there on the night as I am heavily pregnant but I did watch on the cctv and have feedback both during the night and after.
My main confusion is people saying they were not aware it was a Spanish Themed evening when on the initial enquiry it clearly states that and also on the Music requirements on the booking form it clearly states Spanish Themed?
So I really don't understand how this can be missed or said they weren't aware?
Kind regards AF

Claire
I have been asked to provide feedback on the duo provided by yourselves for our Spanish night.
From my point of view it appeared that they were not aware before their arrival that they would be performing at a Spanish themed night. As a consequence they were not prepared for the evening but tried to do their best.
The main problem was their equipment did not allow them to interact with the diners who also expected an upbeat Spanish themed evening which unfortunately did not materialise.
It appeared that they had not been fully briefed as to what was needed and tried their best to adapt to the evening.  This unfortunately fell short of the mark.
I hope you find the information useful.
Kind regards
MF (AF's father)

Dear AF,
Thank you very much for your e-mails and feedback regarding the performance of LF on 14/10/2016. Feedback is extremely useful for us, and allows us to give a fairer representation of our services to future/other customers. I’m disappointed to hear that you were not happy with the band, nor that they interacted with the audience. I can understand how this causes undue embarrassment to all parties involved, and I’m grateful that you have taken the time and initiative to bring this to our attention.
Just so you know, I have followed up with the team as I would hate to think that you were upset. We never get this sort of feedback about the band, which I know will also be quite disappointing to the artists who've put time and effort into preparing all the material for the evening. I have advised singers that if they can sing without sitting down and ensure that they interact with the audience at all times, this would be advisable from an aesthetic point of view. I have advised producers that it is their responsibility to provide the necessary equipment such as a battery-powered amp and remote mic where possible for when required to perform non-stationary, and take measures to ensure that the client is able to regulate the volume and dynamic on the night.
I'm really happy the food got good feedback despite the entertainment issues, which can be resolved. I truly hope we can find a resolution that is in the best interest of everyone involved.
Warmest regards,
Claire Maillot

Hi SM
Just noticed GF's feedback in the quoted text, hadn't noticed it before.
Yes she did ask us to turn up the volume but she only asked us 1x and we obliged.
She's right that Alexandra was sat for the 1st set but we weren't aware that this was a pre-requisite.
And she did only have a lead long enough for the band to remain stationary.
I don't know what to suggest; all of these things might have been resolved more effectively if they'd been requested in advance.
Perhaps it was just a simple case of the positioning and that they expected more from a 2-piece band but their expectations weren't quite met?
Cheers

Hi SM,
Thanks, Good response to AF, I would add, and while I haven’t taken it personally (as she wasn’t there), you’re right that musicians are likely to be upset about them not being happy and it certainly raises worries and articulates these worries to the client in a nice but effective way.
I believe Claire’s already requested AF for feedback as she conducted the show advance but I’m not sure how far she got with it.
Hi again Claire, sorry for another email this evening but could you follow this up for us as I never spoke to the client before the event?
Cheers

My names GF and I was there on the night as AF's Assistant manager and I can tell you that none of our guest were happy. on nights like this we literally have to rally everyone up and try and make them leave but this was not the case at all on this night it's the 1st event we have ever had when everyone has left before the band has finished nearly every table complained about the entertainment with comments like the food was great but the band were awful. Your singer sat on a chair for the whole 1st half and did not move so I asked her if in the 2nd half she could move around and interact with the guest she said no she couldn't as her lead on her mic wasn't long enough I also asked on 3 occasions for them to turn the music up me and MF (AF's father) were very disappointed as we know all our guest and a lot of regulars left very unhappy.

Rory has given me a fuller feedback:
I'm equally confused. It sounds like AF's experience was 'first hand', which can't be true as she wasn't there on the night, so I don't know what she's talking about.
Regarding interaction:
AF's father (who was supervising) positioned us at the opposite end of the pub from where the guests were  sat. It was quite a long/narrow space so a considerable distance. He asked us on arrival whether we had a wireless microphone and whether Alexandra could walk around /serenade; but because we were plugged into an amp it wasn't possible. If he'd flagged this in advance (I'm guessing not as it wasn't written on the show advance) we might have been able to arm ourselves with a wireless system. But he said it was OK.
After the 1st of 3 sets, I asked the waitress whether the volume needed to go up or down and she asked us to turn up, which we did.
However, some guests did actually come over and listen after the meal; any guests who didn't stay thanked us on their way out and seemed impressed (no one laughed at us). Alexandra even went and sat/socialised with the guests mid-set 2nd set while I did a couple of solo numbers to give her a break, as we ended up playing for longer and condensed sets 2/3 into 1 longer set.
We both liaised with AF's father throughout the evening and he was very friendly and good-natured. We stayed a while and he made banter with us at the end of the evening.
From a musician's point of view, the performance definitely wasn't very flat and I thought we had a good energy. I can only conclude that AF either got us mixed up with another band, or that there was another problem with the event that got attributed to the band?

Dear AF
I am a little confused as to your feedback as I had my feedback from Rory on Monday:

Friday went smoothly. AF wasn’t actually there but her father was running the night. We were positioned at the opposite end of the pub from where the guests were seated so it was more of a background vibe rather than a ‘dinner dance’.
On arrival, we also discovered that they were promoting a more Iberian Spanish night but booked a Latin duo (I think it was pitched to us as ‘Spanish/Latino’ hybrid but it definitely leant more towards the Spanish). Luckily Alexandra is Spanish and we were able to adapt our set accordingly and add some Rosana/Gipsy Kings etc in with the Latin material.
Overall, it went well and some of the guests came over to listen after the meal, they really liked it. AF’s father was friendly and seemed happy with how it went.

I will certainly follow up with Rory as I would hate to think that you were disappointed. We never get this sort of feedback from this band so I know Rory will be upset to think that you weren't happy.
I will come back to you when I hear from him tomorrow.
Best wishes

They did not interact with the guests and the performance was very flat.  So much so all the guests left before the end of the evening some laughing at the band some saying there is no point staying this is such a disappointment as all our previous nights have gone well. It was very embarrassing and makes me very dubious of using this site in the future.

I hope your well.
I honestly don't know what to say.  It was a real disappointment and the worst band we have ever hired. Not a single customer stayed 'til the end. They all complained about the band and the Band did not interact with the crowd at all.
I'm completely embarrassed by the whole thing.

I would like to ask whether you could write a short testimonial for LF, based on your experience of working with us.
We are not looking for anything too substantial; just a couple of lines commenting on the energy, style, performance and professionalism, and how you felt the band/set made an impact on your event. This feedback would be very much appreciated. Please let me know if you prefer me not use your full name for privacy purposes.

Hello L,
I hope you enjoyed your weekend.
I'm following up on the quotation sent on 12/08/2016 for LF on 14/10/2016.
I'm wondering if AF is still interested in booking, or had any questions? If AF is still unsure, it is not a problem, as I can reserve the date(s) for a further 18 days, until 17:00, 09/09/2016, or until we sign a contract.
Please let me know if there is anything else you require.
Hope to hear from you soon,

Thanks Claire. We always ask for our musicians to be fed so I'll minus the £30. I think it's also best that I quote with your condensed suggestion so 3 hours at the most. So I will quote £[amount] for you.

    Blog

Red & Black Music was set up in 2012 to stop musicians cancelling.

This blog has been running since 2009 for the purpose of preserving the lessons learned in music management and committing them to account. It transparently documents the internal struggles of running bands, managing relationships and dealing with people; evidencing breaches of communication and accountability both on the artist side and the client side, in an open access format.

    Purpose

At Red & Black Music, we believe in accountability = learning from experience. This blog serves as a record of challenges we’ve faced and how we’ve worked to resolve them. By sharing this, we aim to demonstrate our commitment to professionalism, problem-solving, and continuous improvement.
