Subsequently, the client requested a 090 minutes (1.5 hours) setup / soundcheck.

I have made a note to enforce a strict 120 minute (2.0 hours) setup / soundcheck, for future engagement(s).

It might be worth considering - and you might have considered this already - presenting the option to clients of having a separate sound engineer on the gig with us if there is a limited turnover time. The thing is, I’m perfectly capable of doing sound myself for anything up to the 8-piece but not in such a short space of time (especially when I need to concentrate on setting up sax and flute and directing the show). Obviously you know more about the economics side of it than I do, and you are the boss so ultimately up to you and whatever you think is best for the band, but I definitely think it’s worth considering having as an option as part of our package. The limited time and delayed start resulted in a lot of unnecessary stress and anxiety which didn’t bode well (for my performance at least). Or you would just need to ensure that we get enough time and if not then get them to pay extra for us to arrive earlier like we are doing this weekend.

I have added this to the agenda of items to be reviewed for 2015.

The other thing was I understand you did a special split with Steve on the PA - his speakers / monitors for our mixer and microphones - but I don’t think we should try this again. Combining equipment in this way presented a minefield of logistical problems, e.g., our mixer was incompatible with his monitors because our mixer is XLR out and his monitors are jack in (I’ve since ordered a male-to-jack and a female-to-jack in case I need it for future) but apart from anything it means that things get mixed up and lost easily. I think in future we should either provide the PA and be completely self-contained or not provide the PA at all, and not offer a split, it just makes life too complicated. It’s partly my error as I forgot to print my instructions but it’s easier for me to work on my own agenda and not have to worry about sharing the responsibility with someone else and apply my limited expertise on unfamiliar equipment etc., because some of the things he was asking me to do did confuse me. I have taken into account your comments / feedback re: technical (sound).

I’m removing equipment share as an option from our production(s) / variation(s).

Finally, I ran out of XLR cables. I think the problem was that we had to connect a few because it was a big stage so we used them up quickly. Anyway, my responsibility as you reminded me, and I’ve learned my lesson… So just to let you know I’ve ordered an extra batch of XLR cables 4 x 10m and 4 x 6m, plus a microphone stand (one of ours snapped), those 2 converters mentioned above, plus a normal sized jack-to-jack and an extra long jack for AP's gig on Saturday. Will forward you the receipt.

Apart from that all good although the rider was pretty much non-existent (did they even know that RQ and I were vegetarian?) and judging from the Fiesta Latina gigs I’m guessing it might be worth including subsistence in all of your quotations - so as not to risk people thinking we don’t need it.

Due to the feedback from / recent experiences working with clients (agents / promoters), I'm including subsistence charge(s) in all quotation(s) for future engagement(s).

Steve was also under the impression that requests are free - would be good to clear this up too to avoid any awkward conversations.

Rory (04/03/2014) sent a song selection to the client, and indicated that the song(s) are chargeable, if the song(s) are not on previous set list.

We didn’t fall out over anything anyway - Steve was very nice and understanding and patient but I suspect he too probably didn’t anticipate the complications of collaborating PA with a band, especially coming from a DJ perspective, so no-one’s to blame really, we all live and learn… He was also chatting with RQ about a potential gig for us on a boat although not sure of the ins and outs of it so best check with RQ. Salsa dance class was also brilliant - well done AP!

I’m going to wear my white suit, a light blue shirt. Dave’s bringing his white jacket. AP have you still got your light blue jacket? I have 5 top hats and a couple of Cuban flat caps so everyone can wear hats. RQ is planting a flower in her hair I believe. It’s all going to be fabulous! :*)
Tech-wise Steve DJ is providing speakers and monitors. I’m providing

- 4 microphone stands
- 4 microphones (AP, HH, DS & I)
- 1 piano monitor (WM providing his own monitor if needed)
RQ please bring your microphone / microphone stand if it’s possible
WM & RQ if you could take Steve DJ number, it’s to liaise with on parking. He’s reserved parking spaces for SL and DS.
I’ve copied in the itinerary in case you need it. Should take about 1 hour 15 to drive from London, but allow 2 hours in case of any traffic.

There was a coach arriving at 15:25 and another arriving at 16:15 - I ended up booking the earlier one as they are only an hour apart, and it would give us a bit of time in Canterbury to check into our hotel, get a meal or look around Canterbury if we want to. We are due to arrive at 17:30, so that gives us 2 hours breather time. Hope that’s OK!
- AP & WM to travel with Soso from Lee. Address is. 5 mins walk from Lee, 20 mins on the Southeastern line from London Bridge.

Show Advance

We contract events initially at confirmation, but have a separate "Show Advance" document/procedure so that the finer details of the event can be ironed out once a contract is in place, as requested by musicians.

The show advance details all of the finer details and arrangements, which we can update as we go along to ensure that we are clear on everything. Most of these are simply standard details we check for every event, so not all may apply to all events. We now request you to please take a look and let me know if there is anything you wish to add/amend. If we are unsure on some of the details, we can check nearer to the time, if you prefer.

Thanks HB for taking the time to provide me with this feedback, as it is much appreciated. I have addressed some of her comments. Based on her comments / feedback and those of other producer(s), I have made a list of items to be added to the agenda as part of our annual management review for 2015.

I suppose production fee could range on 20-40% of the performance fee. In the case where one person is responsible for providing a PA this may not necessarily cover it as PA hire is usually more than the fee of an individual performer (and on this occasion I borrowed a PA from a friend, and probably could have got away with a smaller setup with the trio). But that would be a reasonable guide to follow. I usually get something in that range for other events if I'm doing anything extra than being a performer.

However, there were a few problems and I have some feedback. I would be more than happy to discuss this with you on the phone, but when I've called you I haven't managed to get through so I'm emailing (it may also be helpful to have a copy in writing), but please feel free to give me a call if you would prefer to discuss in person. Here is a summary:

We were very held up in traffic in London due to road closures and ended up arriving at the venue at around 4.10pm. Perhaps this wouldn't have been such a problem if we hadn't then had subsequent problems: there was nowhere to park, which is an issue if you need to unload a PA and piano etc. (which we did by parking illegally). But also meant I spent another extra 20 minutes driving around looking for parking (there was literally nowhere in the venue vicinity) when I should have been setting up the PA. Also, on arrival to the venue we couldn't find anyone expecting us. The venue was large and had multiple events happening at the same time so because I didn't have details of our particular event and no contact name or phone number, it took another 15 minutes to find the right manager for the area where we were performing and begin set up. This made us really late. They also didn't know anything about providing us with food or drinks (but they did give us food and drinks, and were generally really lovely). So whilst I have no complaints at all about the way we were treated by the client, again, they were lovely, it did highlight a general lack of communication surrounding the organisation of the event overall.

Yes, you are correct, it is not the responsibility of the performer(s) / producer(s) to negotiate with the venue(s) re: subsistence (food & drink). I will let our agent know.

Also, it's worth mentioning that they had us contracted (from another agency - not yourselves) from 5-8pm and we were booked by you from 5-7pm. As we started late (around 5.15/5.20 after all the problems) and finished around 7.55, we managed to do something in between, which they were find about (and I did show the manager a copy of your email), however it did involve us stretching the music out a bit more than we should have done (as we didn't come with 3 sets' worth), plus again highlighted communication issues.

The booking was via multiple agent(s), and our agent contract quoted the timings as follows_

Playing Times:

Set 1 - 135mins Set 2 - n/a

between 5.00pm and 7.00pm

I confirmed the timing(s) as follows from our agent contract_

Time Schedule (approx):
16:00 - arrive / setup / soundcheck
17:00 - 135 minutes maximum divided into sets
19:00 - finish

Therefore, there is an inconsistency between our agent contract and the actual performance timings. Unfortunately, it is difficult for us to work with the client directly, if we are working via multiple agent(s).

However, I’m now requesting re-confirmation of the timings on a weekly basis for all Havana Club booking(s).

This item will be included in the new show advancing system.

Meanwhile, I apologise for the inconvenience.

Lastly, the whole event seemed to have no function whatsoever, but there was a ton of Havana Club merchandise and event stuff there that was never used. It kind of looked as though an events team was supposed to turn up and do the set up but never did. This left us playing to an audience, who, although they enjoyed it, didn't really know why we were there or what connection it had to the venue (as this wasn't a Latin venue or event).

Although musically I have been working more directly with venues, I do a lot of corporate/agency events as a dancer and based upon my experience I have some recommendations for the future in order to ensure smooth running of events:

• always have a name and mobile number for onsite contact, preferably two, one as a back up in case the first person is not reachable - it happens, especially on events that are run in basements etc.

Apologies for my delay in response, I have been working non-stop, first bit of free time today.

Thank you very much for your message, we very much enjoyed the gig. 

On the plus side the managers really enjoyed it and so did the public and the staff, including one staff member who sat in on a tune with us (in the photo you posted on facebook), which was really lovely. One of the managers asked if he could book us again and I passed on your email and mobile number.

However, there were a few problems and I have some feedback. I would be more than happy to discuss this with you on the phone, but when I've called you I haven't managed to get through so I'm emailing (it may also be helpful to have a copy in writing), but please feel free to give me a call if you would prefer to discuss in person. Here is a summary:

We were very held up in traffic in London due to road closures and ended up arriving at the venue at around 4.10pm. Perhaps this wouldn't have been such a problem if we hadn't then had subsequent problems: there was nowhere to park, which is an issue if you need to unload a PA and piano etc. (which we did by parking illegally). But also meant I spent another extra 20 minutes driving around looking for parking (there was literally nowhere in the venue vicinity) when I should have been setting up the PA. Also, on arrival to the venue we couldn't find anyone expecting us. The venue was large and had multiple events happening at the same time so because I didn't have details of our particular event and no contact name or phone number, it took another 15 minutes to find the right manager for the area where we were performing and begin set up. This made us really late. They also didn't know anything about providing us with food or drinks (but they did give us food and drinks, and were generally really lovely). So whilst I have no complaints at all about the way we were treated by the client, again, they were lovely, it did highlight a general lack of communication surrounding the organisation of the event overall.

Also, it's worth mentioning that they had us contracted (from another agency - not yourselves) from 5-8pm and we were booked by you from 5-7pm. As we started late (around 5.15/5.20 after all the problems) and finished around 7.55, we managed to do something in between, which they were find about (and I did show the manager a copy of your email), however it did involve us stretching the music out a bit more than we should have done (as we didn't come with 3 sets' worth), plus again highlighted communication issues.

Lastly, the whole event seemed to have no function whatsoever, but there was a ton of Havana Club merchandise and event stuff there that was never used. It kind of looked as though an events team was supposed to turn up and do the set up but never did. This left us playing to an audience, who, although they enjoyed it, didn't really know why we were there or what connection it had to the venue (as this wasn't a Latin venue or event).

Although musically I have been working more directly with venues, I do a lot of corporate/agency events as a dancer and based upon my experience I have some recommendations for the future in order to ensure smooth running of events:

• always have a name and mobile number for onsite contact, preferably two, one as a back up in case the first person is not reachable - it happens, especially on events that are run in basements etc.

• request a parking space within the closest possible proximity to the venue (this could easily have been arranged and would have saved so much hassle)

• contact the client by telephone in advance of the event and confirm all the details such as rider and so on, so that the performers are not put in the position of possibly going without food or having to negotiate this. Under normal circumstances, it is the responsibility of the performer(s) / producer(s) to make known to the manager their terms and conditions of acceptance or tentative acceptance upon receipt of an offer.
However, on this occasion, I’m prepared to forfeit my management fee plus an apportionment towards the marketing / studio costs of Fiesta Latina, if it means not troubling the client.

Please can you vote on the above 3 options.
If we do not reach an agreement democratically / internally by 14:00, 01/08/2014 (today), the withdrawal of AM from the contracted engagement(s) will become subject to the terms and conditions of unauthorised absence, which is classified as a breach of contract.
I will be obliged to let the client know, because it is reasonable I let the client know with sufficient notice before they are away on holiday.
If I let the client know, AM may be liable for any cancellation fee(s) due to the other confirmed performer(s) / producer(s), if the client elects for cancellation(s) (full or part) on the basis of non-fulfilment of the artist / production, in addition to any penalties / damages pursued by the client.
See clauses below from the client contract, to which we are liable as an artist.
However, I anticipate that these procedures will not be required, if the issue(s) can be resolved reasonably / internally via democratic vote.

6. Cancellations

a) Cancellation by the Client:
All cancellations must be made in writing to the Agent and will be subject to the following terms:
In the event of cancellation of the contract by the Client the Booking Fee will not be refunded and in addition to this
i) if the Contract is cancelled by the Client within 90 days of the Event Date then 50% of the Balance will be payable;
ii) if the Contract is cancelled by the Client within 30 days of the Event Date then 100% of the Balance will be payable.
Any applicable cancellation fees shall be payable by the Client to the Agent within 7 days of cancellation notice. The Agent will forward cancellation fees to the Artist within 7 days of receipt of these fees from the Client.

b) Cancellation by the Artist
Cancellation by the Artist is not permitted for any reason except circumstances covered by Force Majeure (see clause 21).
In the unlikely event of cancellation or non-appearance by the Artist, the Agent will endeavour to do all that is feasibly possible to provide a suitable alternative at no extra cost to the Client and the Client shall not unreasonably refuse to accept such a suitable alternative. In the event of unreasonable refusal, the provisions of clause 6(a) above will apply. Should the Artist cancel the booking under the circumstances not covered by Force Majeure, the Client may pursue unlimited damages from the Artist as they see fit. The Artist also agrees to refund the Client any difference between the total original fee and the total fee charged by any replacement Artist arranged for the Client by the Agent. In the event that a suitable replacement Artist cannot be arranged by the Agent, then the Artist will be liable to pay to the Client a fee equal to the Booking Fee paid by the Client to confirm the booking and this must be paid within 7 days. Please note that credit or debit card charges are non- refundable.

22. Force Majeure

In cases of Force Majeure (which shall be known as war, fire, death, serious illness, epidemic, strike, labour dispute, accident, civil commotion, national calamity, act of God) which are not attributable to any act or failure to take preventative action by the Client or the Artist, then the Client or Artist may cancel this booking without penalty other than loss of the Booking Fee.

I am getting in touch to say that I don't want to do any of the Fiesta Latina gigs that I am booked in for. I am also not interested in any future Fiesta Latina work. I am quite busy at the moment, and feel that I have taken too much on, and the way it is set up with Fiesta Latina is feeling a bit stressful for me and like there is a lot of extra work to do apart from just doing the gigs. I understand that this puts you in the position of needing to find a replacement for me on these gigs, so I apologise for that.
I have included some feedback below to explain why I am feeling this way:
I find the way information is communicated a bit complicated and that there are a lot of emails and information flying about. Rather than having long lists of information it would be helpful if it was more concise and either just written in the email or just written in an attachment instead of being both and having the same information repeated in a different format. This style of communication used can feel quite impersonal. 
It would also be helpful if you explained the exact type of event (wedding, birthday party, product promotion) and exactly what the client is expecting from us (style of music, mood, upbeat/downbeat, background, etc).
Jo, it would have been helpful if you had introduced yourself and explained the Fiesta Latina project, your role and who you are. I knew that Fiesta Latina was something to do with Rory, but I didn't know if you were working for him as an assistant, or what, so initially that felt quite odd and a little confusing. (Rory did explain the situation at a gig we had together, but otherwise I would have had no idea).
The production role that you asked me to do feels like a lot of extra work, some of which I would expect the agent/manager to do (like contacting the venue beforehand to check that everything is going ahead as planned). Also planning the set and the music is actually quite a lot of work, and I don't really have all the resources to do that (eg I have to request the sheet music from Rory and check if it's in the right key etc) - not only that, but one of the problems I have with the role is that some of the musical structures are quite complex, and for me to be directing the other musicians on the day felt a bit overwhelming as it will be take me a fair bit of work to make sure that I know the songs and music well enough to do that confidently. I am completely capable of doing it, but I don't think I realised quite what I was signing up for, and it's more work than I wanted to take on with how things are for me at the moment time-wise.
I know that you did offer a fee for doing the production role for one of the gigs, which is good, as it takes time to do that stuff, so I feel people should be compensated for that time, so that's a positive.
So I hope that explains why I don't want to do the gigs and that the feedback might be useful to you.

Maybe we could check with Jo about arranging some sort of producers cut for future gigs where I’m not playing? (I’m assuming you are not getting one already as you said about the extra work you are not paid for)… I don’t normally get paid any more for my producing but I understand the extra work that comes with it, so it seems fair to me, especially if it will help make things more manageable in the long run.
Also, as far as I’m aware, I’m a regular for Fiesta Latina (to cover both north and south) & I think any situations where we are not on the same gig are an exception, i.e., I’m either doing Diáspora or she is sending out 2 bands on 1 date. Jo manages my gig diary / availability so she’ll know what’s coming up and whether or not I’d be available, so she’ll be able to factor these things in advance.
I understand your concern about not having worked with someone. Anyone who goes through R&B is based on recommendation, which means someone who we trust and like working with. I know everyone’s different so may not be much help right now. Jo asked for my recommendation because she already tried like 10 different pianists for the August gigs. I recommended ST because I’ve worked with him before and I think he is up to the job. But maybe you could have some say for future fixing if you preferred, although it might add more work / stress (in most cases, I either send her a list of players in order of preference, or let her decide based on their involvement).

Yeah, it is exactly that - basically what I’d usually do on a gig (not v much ha ha…), meet the venue / promoter on the day, check everyone is happy and sort get in / set up / sound check and running order / interval. I can send over any charts / transpositions if helpful.

I’ve done a few of these gigs now, and they are really relaxed and tend to be background / ambience music (I think they are all through the same company). But you are right that there should be a few Cuban numbers to keep them happy. So maybe out of our list, the simplest ones would be
- Cuba
- I Like It (I Like It Like That)
- Lágrimas Negras
- Primavera
- Smooth
- Sway
Of course, check with ST if there are any he knows you might know as well, or put in a couple of instrumentals to give you a breather, that would be absolutely fine as well.
I’m not sure how many pianists Jo’s checked with but she needed recommendations from me which suggests availability was limited. ST has played with various salsa ensembles in the past, I think his only concern was that he hasn’t done it in a while. If he wanted to jam out some of his own Afro-Salsa material he mentioned with percussion as instrumental that would be great too as he mentioned doing that.
I think the best thing to do is as you say suggest a set list with ST and see how much rehearsal he would need (if any). It’s really up to you guys as I won’t be playing but I’m sure whatever you play will satisfy their requirements.
Timings tend to be either 3 x 40 minutes or 2 x 60 minutes with intervals so around 12 - 14 tunes should do it (depending on repeats / solos).

ST called me the other day and I briefly explained the material. The impression I got was that he is more comfortable with the Brazilian rep than the Cuban, so you may want to check with him on that score as he has not done salsa for a while, but looking at what Jo found out from the agent it shouldn’t be a problem.
If it’s anything like the other Havana Club gigs, they just want something vaguely Latin (don’t think they can tell the difference).
I usually use my portable Yamaha Stage-PAS for the trio and mic up vocals + percussion. Piano can just be line in.

When the fallout with JJ occurred, CM phoned me. On the phone he was pleasant and appeared to be taking my side when I explained to him the ridiculousness of the way in which JJ gig was organised and played out.

​​Chris was booked to play congas in Diáspora @ Matt & Phred's Jazz Club, Manchester - 01/05/2011. The night before the gig, he cancelled (tabbed message is a reconstruction).

I booked FM as a replacement. On the night of the gig, CM became tetchy with me because I was trying to pay the band members (it was like herding cats) while he was trying to get me to clear all of my equipment off the stage.
​I've broken my hand playing congas. It's not looking good Rory... I'll be doing your sound in any case.

A few days after, I phoned him because I detected that there was some tension between us, yet I couldn't figure out what the source of that tension could be and I wanted to discuss it with him openly. On the first couple of attempts, he didn't pick up, but on the third attempt he did and made some alibi about having been out in the garden.

Perhaps the phone call (justified countless times in this blog) wasn't the best medium for such a negotiation to occur, because the social aspect of the negotiation meant that we were unable to be completely honest with one another.

Currently, at this point, CM was booked to play in Leeds on 16/07/2011 (Diáspora @ York Racecourse).

I said to CM: "I don't believe you have the energy for Diáspora and if that's the case, I respect that, but I wanted to check as I know you're booked for the gig in July. If you don't wish to do it, that's fine by me and I'll book FM instead."

CM was pretty unanimous. He said "yes, that's fine, why don't you book FM on any remaining gigs and use me as a backup." So I said, that's fine and that I'd confirm with him once FM was booked.

I booked FM on Diáspora @ York Racecourse - 16/07/2011. I texted CM to let him know (reconstruction).

I didn't reply, but I showed the text message to one of my colleagues, lead programme at BOTW, who didn't seem surprised: he described CM as a "very rude and aggressive man".

​I didn't speak to CM after that for a number of years but those words still stick in my mind. A few years later, he approached me in the Picturehouse Bar @ BOTW. He said something about the fact that he was no longer working for the jazz club anymore because he didn't get on with the owner and he made some insult about her. His whole tone was completely negative so I walked away. I didn't really wish to hear this about someone I liked and respected. I wasn't interested in talking to him anymore. I couldn't understand why he had been so underhand and indirect with me like a predator yet was appearing to be friendly towards me now, as if nothing had happened. Sometimes he would be friendly and other times not but either way he would usually say something negative about someone else during the conversation. I found his attitudes and behaviour inconsistent.

You are assigned to book bands for rum promotions in bars and restaurants around the country, many of which involve sending out multiple sets of musicians to cover separate events on 1 date. 2 of these events are taking place in Birmingham and Cheshire during peak season (mid-August) and you are using Manchester-based musicians to cover these events. A vocalist has been referred to you by the producer. I understand that it's not ideal for me to pull out of the gigs at this stage, but I do feel that the situation could been handled in a more positive way. Also it is not reasonable for you make an ultimatum like that with such a short space of time to fulfil the terms.

If I let the client know, AM may be liable for any cancellation fee(s) due to the other confirmed performer(s) / producer(s), if the client elects for cancellation(s) (full or part) on the basis of non-fulfilment of the artist / production, in addition to any penalties / damages pursued by the client.
See clauses below from the client contract, to which we are liable as an artist.
However, I anticipate that these procedures will not be required, if the issue(s) can be resolved reasonably / internally via democratic vote.

6. Cancellations

a) Cancellation by the Client:
All cancellations must be made in writing to the Agent and will be subject to the following terms:
In the event of cancellation of the contract by the Client the Booking Fee will not be refunded and in addition to this
i) if the Contract is cancelled by the Client within 90 days of the Event Date then 50% of the Balance will be payable;
ii) if the Contract is cancelled by the Client within 30 days of the Event Date then 100% of the Balance will be payable.
Any applicable cancellation fees shall be payable by the Client to the Agent within 7 days of cancellation notice. The Agent will forward cancellation fees to the Artist within 7 days of receipt of these fees from the Client.

b) Cancellation by the Artist
Cancellation by the Artist is not permitted for any reason except circumstances covered by Force Majeure (see clause 21).
In the unlikely event of cancellation or non-appearance by the Artist, the Agent will endeavour to do all that is feasibly possible to provide a suitable alternative at no extra cost to the Client and the Client shall not unreasonably refuse to accept such a suitable alternative. In the event of unreasonable refusal, the provisions of clause 6(a) above will apply. Should the Artist cancel the booking under the circumstances not covered by Force Majeure, the Client may pursue unlimited damages from the Artist as they see fit. The Artist also agrees to refund the Client any difference between the total original fee and the total fee charged by any replacement Artist arranged for the Client by the Agent. In the event that a suitable replacement Artist cannot be arranged by the Agent, then the Artist will be liable to pay to the Client a fee equal to the Booking Fee paid by the Client to confirm the booking and this must be paid within 7 days. Please note that credit or debit card charges are non- refundable.

22. Force Majeure

In cases of Force Majeure (which shall be known as war, fire, death, serious illness, epidemic, strike, labour dispute, accident, civil commotion, national calamity, act of God) which are not attributable to any act or failure to take preventative action by the Client or the Artist, then the Client or Artist may cancel this booking without penalty other than loss of the Booking Fee.

Hello Jo,
I am getting in touch to say that I don't want to do any of the Fiesta Latina gigs that I am booked in for. I am also not interested in any future Fiesta Latina work. I am quite busy at the moment, and feel that I have taken too much on, and the way it is set up with Fiesta Latina is feeling a bit stressful for me and like there is a lot of extra work to do apart from just doing the gigs. I understand that this puts you in the position of needing to find a replacement for me on these gigs, so I apologise for that.
I have included some feedback below to explain why I am feeling this way:
I find the way information is communicated a bit complicated and that there are a lot of emails and information flying about. Rather than having long lists of information it would be helpful if it was more concise and either just written in the email or just written in an attachment instead of being both and having the same information repeated in a different format. This style of communication used can feel quite impersonal. 
It would also be helpful if you explained the exact type of event (wedding, birthday party, product promotion) and exactly what the client is expecting from us (style of music, mood, upbeat/downbeat, background, etc).
Jo, it would have been helpful if you had introduced yourself and explained the Fiesta Latina project, your role and who you are. I knew that Fiesta Latina was something to do with Rory, but I didn't know if you were working for him as an assistant, or what, so initially that felt quite odd and a little confusing. (Rory did explain the situation at a gig we had together, but otherwise I would have had no idea).
The production role that you asked me to do feels like a lot of extra work, some of which I would expect the agent/manager to do (like contacting the venue beforehand to check that everything is going ahead as planned). Also planning the set and the music is actually quite a lot of work, and I don't really have all the resources to do that (eg I have to request the sheet music from Rory and check if it's in the right key etc) - not only that, but one of the problems I have with the role is that some of the musical structures are quite complex, and for me to be directing the other musicians on the day felt a bit overwhelming as it will be take me a fair bit of work to make sure that I know the songs and music well enough to do that confidently. I am completely capable of doing it, but I don't think I realised quite what I was signing up for, and it's more work than I wanted to take on with how things are for me at the moment time-wise.
I know that you did offer a fee for doing the production role for one of the gigs, which is good, as it takes time to do that stuff, so I feel people should be compensated for that time, so that's a positive.
So I hope that explains why I don't want to do the gigs and that the feedback might be useful to you.

Maybe we could check with Jo about arranging some sort of producers cut for future gigs where I’m not playing? (I’m assuming you are not getting one already as you said about the extra work you are not paid for)… I don’t normally get paid any more for my producing but I understand the extra work that comes with it, so it seems fair to me, especially if it will help make things more manageable in the long run.
Also, as far as I’m aware, I’m a regular for Fiesta Latina (to cover both north and south) & I think any situations where we are not on the same gig are an exception, i.e., I’m either doing Diáspora or she is sending out 2 bands on 1 date. Jo manages my gig diary / availability so she’ll know what’s coming up and whether or not I’d be available, so she’ll be able to factor these things in advance.
I understand your concern about not having worked with someone. Anyone who goes through R&B is based on recommendation, which means someone who we trust and like working with. I know everyone’s different so may not be much help right now. Jo asked for my recommendation because she already tried like 10 different pianists for the August gigs. I recommended ST because I’ve worked with him before and I think he is up to the job. But maybe you could have some say for future fixing if you preferred, although it might add more work / stress (in most cases, I either send her a list of players in order of preference, or let her decide based on their involvement).

I'm just catching up with emails. I can't remember if I have replied to this already or not. Rory has suggested that I bring my little PA system for us to go through at the gig. So that would be 2 speakers (each measuring about 1 foot x 1 foot x 2 feet), plus a microphone stand and music stand.
FM, I don't know if you need to be miked up or not. There are enough inputs on my PA, but I only have one mic and stand, so if you need one, you would have to bring your own.

The other option would be if Serge is bringing his own amp for you to bring your own vocal amp and do it separately. Let me know.

I haven't got a car! Does Serge drive? If he doesn't, I would propose to try renting a medium car for all with Alyss' s license if she's willing to drive... I'm in process of getting my driving license so if I get it by that time I would be more than happy to drive.
My first plan was going by train but the last one to get back to Manchester is at 10:30. ..

Hi all,
My car is quite small (it's a Ford Ka), so I'm not sure that all the equipment plus 3 people would fit into it. Also I would rather not drive to Birmingham if possible, so if I could get a lift with one of the others that would be great for me.

How are you? Hope all is well. I’ve been offered some potential dates in July / August playing piano as a Latin duo or trio, most of them in London but some in other cities including Manchester.
