PA System Requirement for Event on 01/02/2025 Description During the preparation for the Amazon LTN4/5 Party on 1st February 2025, it was identified that the originally planned self-contained PA system might not provide sufficient sound coverage for the entire venue. The event space is 934 sqm, with a designated band area of approximately 3x2m and a 30ft x 30ft wooden parquet dance floor. Initial discussions with the client, ZT, revealed uncertainty regarding the venue's built-in audio capabilities and the potential need for additional amplification to cover the dance floor and surrounding areas adequately. Action Taken RD (Bandleader) communicated with JH (Agent) regarding the potential sound limitations and suggested notifying the client in advance to align expectations. A message was sent to ZT to clarify the capabilities of the band's self-contained setup and advise on additional PA hire if full-room coverage was required. Following the client’s query on PA costs, RD proposed an alternative solution by arranging HH (potential sound engineer) to provide a larger PA system for the event at a cost of £[amount], including travel. PM (sound engineer’s PA/liaison) was looped in to handle specific technical discussions with the client. The client explored the possibility of using on-site speakers and sought confirmation on whether existing equipment could be used. Resolutions The offer of hiring HH and his PA system was presented as a cost-effective alternative to hiring an external AV company. Client was informed of the limitations of the band’s existing PA setup and the necessity of additional equipment if full coverage was required. Awaiting final confirmation from the client on whether they wish to proceed with HH’s PA setup or use in-house speakers. Future bookings should include an initial venue sound assessment to avoid unexpected PA requirements.
